HOW TO CREATE FOLDER AND RULE MS OUTLOOK IN INBOX FOR SPECIFY EMAIL #findretech #outlook #folder
In Microsoft Outlook, you can create folders to organize your emails, and you can also create rules to automatically move or manage emails based on specific criteria. To create a folder and set up a rule to move specific emails to that folder, follow these steps:
Open Outlook: Launch Microsoft Outlook and ensure you're signed in to your email account.
Create a New Folder:
In the left-hand pane, right-click on your email account's Inbox.
Select "New Folder" from the context menu.
Give your folder a name (e.g., "Important Emails") and click "OK."
Create a Rule:
Click on the "File" tab in the Outlook ribbon.
Select "Manage Rules & Alerts":
In the "Mailbox Rules" tab, click on "Manage Rules & Alerts."
Create a New Rule:
In the "Rules and Alerts" dialog box, click on "New Rule."
Start from a Blank Rule:
Select "Apply rule on messages I receive" under "Start from a blank rule."
Define the Condition:
In the "Which condition(s) do you want to check?" section, check the box next to "from people or public group."
Edit the Rule Description:
Click on the underlined "people or public group" link in the "Edit the rule description" section.
Select a Contact:
In the "Rule Address" dialog box, select the contact or email address from which you want to move emails. You can also add multiple addresses by separating them with semicolons.
Confirm Your Selection:
Click "Add" to add the selected contacts to the rule.
Click "OK" to close the dialog box.
Define the Action:
In the "Which actions do you want to apply?" section, check the box next to "move it to the specified folder."
Edit the Rule Description:
Click on the underlined "specified" link in the "Edit the rule description" section.
Select the Folder:
In the "Rules and Alerts" dialog box, choose the folder you created earlier (e.g., "Important Emails").
Click "OK" to confirm your selection.
Finish Rule Setup:
Back in the "Rules and Alerts" dialog box, click "Next."
Set Up Exception (Optional):
If you want to exclude certain emails from this rule, you can set up exceptions. Otherwise, click "Next."
Specify a Name for the Rule:
Give your rule a descriptive name in the "Specify a name for this rule" field.
Apply the Rule:
Choose whether you want the rule to be applied to emails that are already in your Inbox (check "Run this rule now on messages already in Inbox") and whether you want to apply it to future messages (check "Turn on this rule").
Finish Rule Setup:
Click "Finish" to complete the rule creation.
Your rule is now set up, and emails from the specified contact(s) will be automatically moved to the folder you created. Remember that Outlook will only apply this rule to new incoming emails, so existing emails will remain in your Inbox unless you chose to run the rule on existing messages during setup.
