A document with color information in it is larger in size. Printing a color document can be expensive. Even though we can change the settings of the printer to print it in black and white, it may happen that in a busy office environment, the color print command is given without changing its settings. One can avoid this by converting the document to black and white or grayscale. Doing so reduces the size of the file quite a lot. This helps in places where a document needs to be uploaded and there is a small file size limit for the upload. Plus, printing a document in black and white or grayscale is very cost-effective. If the document itself is in grayscale, then giving a print command will always print it in black and white.
