Add Emails and Attachments

Adding an email body text or attachment is very simple with MCR. You click the "records" menu. The choose "Add Email". This will then open MS Outlook. Which may take a moment.

You then choose the Outlook Folder to look for the record.

A WORD OF WARNING -- if you keep lots of emails in the InBox of Outlook you need to make a separate folder of emails To Add into MCR.

If you choose to open the InBox every email and attachment stored in there must be read by MCR - and this can take ages if you have lots of emails. You will only do this by mistake once!

You can drag and drop emails into separate folders in Outlook itself to make this process easier.

Select the folder you want to look in -- eg ToAdd and the list of emails and their available attachments will populate.

You can select the email or emails you want to add by clicking each email once.
When you have made your selection simply click the button "Add Email".
You are then given the option of adding more emails or attachments.

To add an attachment, click the email that has the docs attached once. In the column on the right hand side of the screen the various attachments will then appear. To slect click the box to the side of the attachment and a small green tick appears.
You can tick more than one attachment.

When you have all the attachments you want from this email, click the button " Add Attachments".

The attachments are added into MCR on the day they are imported to MCR. You can always edit the details to put them into a separate order or to name them in a way that makes retrieval very simple.

Keep going until you have added all of the emails and attachments you want to this particular client record.

MCR does not delete the emails -- they stay in Outlook so you can organise, delete or move then back to your InBox.

Keeping the ToAdd folder clear really does make a huge difference.
