Faculty Instructions for Approving Test Proctoring Requests

Today I will be showing you the process for Faculty to approve Test Proctoring Requests
1. To begin, navigate to your access cas home page.
2. If you have pending test proctoring requests, they will appear on your access cas homepage under “test room bookings to review” where they will be categorized by course.
3. To approve an individual test proctoring request, click the course then find the student whose test proctoring request you want to approve.
4. Next, select the review button on the right side of the screen next to the students name and the date and time for which they have submitted a test proctoring request
5. To approve a test proctoring request, you will need to upload either the test itself or information about the test if it is an online test or you are dropping off a test with our office in person.
6. To upload this information, you will select the button labeled “upload button”
7. This will bring up a new screen called “add new exam”
8. It is important to note that you do not have to upload a file to fill this out, you just need to provide information about the test and how it is to be administered
9. First, give the exam a name. For this example we will label the test Exam 1. This field if required. You can also give a description if you would like, but this field is not required.
10. Next, indicate whether or not this is a final exam.
11. Next, indicate how long students in your class have to take the test.
a. It is important to note that this time is the standard test length, not the length of the test for students with accommodations for extended time. The system will automatically calculate how long these students need based on what you input as the standard test length.
12. Next, indicate items that are allowed in the testing room.
13. Next you have the option to upload a file that contains the test and/or any necessary extra materials that are to be distributed with the test.
14. Next, select a start date and end date. These dates should encompass the range of dates in which you will allow students to take this exam with the CAS Test Proctoring Center.
15. If you indicate that the start date is august 18th and the end date is august 22nd, students will not be able to choose this test when requesting to take an exam on dates outside of this range.
16. If you would like this test to be automatically added to all existing or pending test proctoring requests for this course within a certain date range, select yes under apply to all records.
17. This step is not required and can be left blank if you so desire.
18. Once you have provided the requested information possibly including the test itself, you will press submit and this test will be visible on the exam drop down menu when approving test proctoring requests.
19. If you have done the steps correctly, you should see a green popup that says “exam submitted successfully.”
20. Next, select return to home from the bottom of the screen
21. When you go to review the pending test proctoring request, you should now see your uploaded exam on the Exam drop down menu.
a. You will also be able to see if you have or have not uploaded an attachment to your exam. This is only necessary if you are providing the test to the CAS Test Proctoring Center via access CAS. IF you plan to email the test, drop it off, or give an online test, you do not need to upload anything and can ignore this warning.

22. Select the check box next to the exam you want the student to take, then the test will show up in red with the name you gave it
23. Next, make sure the length looks correct. In this example, the standard test length is 90 minutes and the student has 50% extra time, so the length shows up as 135.
24. If this is correct, you can leave the length of in class exam field empty
25. Next, you have the option to give the date and time this exam is being taken in class
26. Next you can add any comments regarding the test itself
27. You will be given a longer list of allowed items to choose from, check the box next to all allowed items.
28. There is a field for you to add allowed items that are not on the check box list, please indicate any other allowed items in this field.
29. Next, choose how you will be providing the test to CAS
a. You can email the test, upload it to access cas, etc
30. Next is the attachment field, IF you have already uploaded your test in the exam portion you can ignore this section
31. Next you will choose how you want the test to be returned to you when the student has finished.
32. Then you will approve or deny the request.
33. Finally, we ask that professors provide a reliable way to quickly contact you during the test with any technical issues or questions from students.
34. Next, press save and you will have approved the proctoring request for the student
35. We require all tests to be submitted at least two days before the test proctoring appointment
