In this tutorial, we continue the journey of data analysis by discussing sorting.
You'll learn how to use Google Sheets commands to effectively sort data, exploring advanced options and solving common problems.
🎯 *What you'll learn:*
🟢 Ascending and Descending Sorts
🟢 Using "Sort Sheet" and "Sort Range" with and without headers.
🟢 Advanced Range Sort Options: A more complex and flexible approach.
Google Sheets has commands for sorting data in ascending or descending order.
• Ascending: means ascending, from smallest to largest (for numbers) and from A to Z (for text).
• Descending: means descending, from largest to smallest (for numbers) and from Z to A (for text).
These commands are found in the Data menu and are:
Sort Sheet
Sort Range
▶ SORT SHEET
Sorting a sheet by column preserves the relationship between multiple columns of data.
Suppose we have a list of names in column A and their scores in column B.
If we wanted to sort the list in ascending order, simply select column A, then open the Data menu (or, alternatively, click the drop-down menu next to the letter A in the column header) and select the command
Sort Sheet ➜ Sort Sheet by Column A, A➜Z
This sorting method will preserve the correspondence between names and scores.
NB: This method works if the data doesn't have headers.
If it does have headers, those will also be sorted!!!
Therefore, if the data has headers, it's best to use Sort Range.
▶ SORT RANGE (Sort by range)
Google Sheets allows you to sort data in a range by columns.
But be careful: to sort a range containing more than one column, you must select the entire data range because sorting just one column can break the relationship between the columns.
▶ ADVANCED RANGE SORT OPTIONS (Multi-Level Sorting)
In the Sort Range submenu, there's another command: Advanced Range Sort Options, which allows you to perform more complex (or multi-level) sorts.
Choosing this command after selecting all the data will open a dialog box that first allows you to specify whether the selected data has a header row.
Selecting the corresponding checkbox will update the underlying data with the column labels.
After choosing the first sort level, you can add another by clicking "Add another sort column." Another row will then appear with a drop-down menu and radio buttons to choose the second level and sort mode... and so on for all the columns in the selected range.
Once you've entered all the desired sorting criteria, click Sort.
