Once you’ve had your meeting with the client, and they’re ready to work with you, you’ll probably want to send some sort of proposal, statement of work, or contract.

It’s a good idea to have at least the basic outline of work on paper and to get all stakeholders to sign off on the document.
Instead of sending back and forth emails to get approval, I recommend using either a proposal app, or at least an app that enables electronic signatures.
There are proposal tools out there for many fields. And some do way more than just send proposals.
In accounting you have Practice Ignition and Go Proposal and many others.
For the health and wellness industry, there's Practice better.
And for general proposal software you can check out Better proposal or Proposify.

These tools basically use building blocks that you predefine.
When you're ready to build a proposal for a new client, you pull in the different blocks and make a new and personalized proposal.
This can save A LOT of time and headache.

Most of these apps also connect to payment processing tools so you can accept a down-payment or even full payment through the app.
They also have electronic signatures built in. So the client signs the contract as part of the proposal and then pays based on the terms set in the contract.

If you are not sending proposals, you're going to want to have your clients sign a contract at the very least.
It's easiest to do so using an electronic signature app such as HelloSign, DocuSign, PandaDoc and many others.
The advantage of this kind of application is that you upload a document (or a template) and mark the fields that need to be filled and signed.

Having a proposal or eSignature app is useful to streamline your process and ensure YOUR customers feel you are giving them 100% without actually having to spend 100 hours on building each proposal or contract.
