Office Ally Update User Access and Billing Permissions in the Service _sa Account

Your biller needs to see the billing. That does not mean your biller needs to be able to change the billing. Those are two different levels of access, and in Office Ally the difference is a checkbox and a role, sitting in an account most practice owners have never opened.

In this walkthrough, Marie Matteson, MS, goes into the security administrator account to show where user access is controlled, how to disable someone entirely, and how to give a biller read only access so they can do their work without being able to alter your account.

Here is the path we follow:

Log into the security administrator account, the login ending in underscore SA
Go to the admin section, then Manage Users
Find the user you want, for example your biller
Disable them if you want to block access outright, meaning they cannot get in at all
To adjust access instead, click their name and choose edit
Choose Show Advanced Settings, then Next
Work through the service settings, including the Practice Mate user settings
Set the user's role. A biller should be a biller, not a security administrator
Set read only where appropriate, for example patient visits
For accounting, understand the two different states: an unchecked box means no access to accounting at all, while a checked box with read only means they can see billing but cannot change anything

That accounting distinction is the one worth getting right. Unchecked and read only are not the same setting. Unchecked locks the person out of accounting entirely, which is fine if that is what you want and a problem if you needed them working in there. Checked plus read only is the middle ground most practices actually want for an outside biller.

The other half is the user type. If someone is set as a security administrator, permissions underneath that do not constrain them the way you expect. If they are a biller, make them a biller.
