📌 Inserting Audio into a Presentation
To insert background music or audio in general into a PowerPoint presentation, click the Insert tab and, from the Media group, select Audio.
From the drop-down menu that opens, click Audio on My PC or Record Audio. Selecting the first option opens a window where you can browse for the audio file on your PC. Selecting the second option opens a window where you can start recording a sound.
📌 Playback Controls
Whether you insert an existing audio file or record a new one, a speaker-shaped icon is added to the slide, accompanied by a toolbar containing tools for playing/pausing, fast-forwarding, and volume control.
When you select the audio object, two new contextual tabs are added to the ribbon: Audio Format and Playback.
The Audio Format tab contains tools similar to those for working with images, and is used to change the format of the audio icon.
The Playback tab displays all the tools for adjusting the sound and customizing playback modes.
📌 Playback Tab
The first icon on the Playback tab is the Play button, which changes to Stop to pause the current audio playback.
In the Bookmarks group, the Add Bookmark button lets you add a bookmark to indicate a certain point in the audio where a section you want to monitor begins or ends, while the Remove Bookmark button lets you remove it.
Clicking the Trim Audio button in the Editing group opens the Trim Audio dialog box, where you can change the start and end times of playback by trimming a portion of the recording. To set new values, simply drag the green Start and red End sliders inward on the bar.
Note: The selected values remain set for playback, but the original file remains unchanged.
Also in the Editing group, you can set the duration of any fades at the start and end of playback, in seconds and tenths of a second.
In the Audio Options group, there's a Volume icon with four volume levels: low, medium, high, and muted. To choose how the audio file starts, select the arrow next to Start and choose an option from the list.
• Click sequence: The audio file plays automatically when you click.
• Automatically: The audio file plays automatically when you move to the slide containing the audio file.
• On mouse click: The audio file plays only when the icon is clicked.
In the same group, there are four checkboxes:
• Hide during presentation allows you to hide the speaker icon while you present to your audience.
• Play across slides allows you to play an audio file across all slides.
• Loop until stopped allows you to play an audio file continuously until you manually stop playback by clicking the Play/Pause button.
• Rewind after playback allows you to return to the beginning of the audio file after it has been played.
The last group in this Audio Styles tab has two controls: select Play in background to automatically set the audio to loop across all slides in the background (as background music in a presentation) and No Style to reset the playback options to the default.
📌 Deleting Audio
The quickest way to delete an audio clip is to select the audio icon on the slide and press the DELETE key on your keyboard.
