Welcome back to the Landlord Profitability Playbook Scorecard Video Series. I'm Chris McAllister's Avatar from ROOST Real Estate Co., and today we're diving into Profitability Play Number One: Automating Your Rent Collection.

This is the foundation of everything else we’ll cover. If you can’t collect rent consistently and efficiently, nothing else matters. In this video, I’ll walk you through the four stages every landlord experiences—from barely surviving to truly succeeding.

Stage 1 – Reacting
In this stage, your tenants are running the show. You’re taking whatever they can pay, whenever they can pay it. Maybe they call on the 15th saying, “I can only pay half now, the rest next week,” and you agree because you need the money to cover the mortgage. Then “next week” turns into two, and suddenly you’re always playing catch-up.
You’re not setting boundaries because you fear losing tenants. Without systems in place, you’re reactive, inconsistent, and stressed. Worst of all, you’re training tenants that rent collection policies are negotiable—and that’s incredibly hard to change.

Stage 2 – Surviving
Here, you’re collecting rent, but it’s consuming your life. You’re calling, texting, tracking manually, even driving by properties. The money comes in, but at the cost of your evenings, weekends, and peace of mind.
You started investing for freedom, yet you’re chained to the phone and drowning in day-to-day management. You’re surviving financially, but the process is exhausting and unsustainable long-term.

Stage 3 – Muscling
You’ve learned to be firm, but you’re doing it through force, not systems. You’re the landlord who calls daily after the 5th until tenants pay. It works—but it’s stressful. You’re the “bad guy” every month, creating adversarial relationships and often higher tenant turnover.
Muscling leads to burnout because you can never step away. Without systems, rent collection depends on you being constantly “on.”

Stage 4 – Succeeding
This is where you want to be. Expectations are clear from day one. Your lease spells out payment terms, late fees, and consequences. You use property management software to send reminders, process payments, and handle late fees automatically.
Tenants can pay online 24/7. The system handles 80% of rent collection without you lifting a finger. The remaining 20% is managed with standardized follow-up steps—texts, notices, escalation if needed.
Your professionalism attracts responsible tenants who pay on time. You check your dashboard once a week, your cash flow is predictable, and you have the time and freedom to grow your business instead of chasing rent.
