In this Zero to Hero guide, you'll master Shared Mailboxes in Microsoft 365—from the absolute basics to advanced permissions, delegation, security, and the #1 mistake 99% of admins make.

Access: Classic Outlook
Access: New Outlook

🔑 *Key Takeaways:*
Shared mailboxes are free by default – up to 50 GB of storage.
The corresponding Entra ID account is *permanently disabled* – NEVER enable it!
*Full Access* allows users to read/manage the mailbox but NOT send.
*Send As* sends emails that appear only from the mailbox.
*Send on Behalf* shows both names: "User on behalf of Shared Mailbox."
*Full Access is required* for users to view mailbox content – there is no standalone Read permission.
Sent emails go to the user's Sent Items by default. Use PowerShell or M365 Admin Center to save copies to the shared mailbox's Sent Items.

💡 *Pro Tip:*
Enable "Copy items sent as this mailbox" in M365 Admin Center -- Teams & Groups -- Shared Mailboxes -- Sent Items to keep your team's communication transparent.
