Hi Everyone! Welcome back to the CaseGuard Studio training course. In this video, we cover PDF redaction through Find & Redact list search.
CaseGuard Studio allows users to build a list of information they would like redacted from their document files. You can build a list once and run it on as many files as you would like. There is no limit.
Create a project and add a document file to your project. Once your file is added to your CaseGuard project, pin your analytics panel.
At the bottom of the analytics panel, you will see a list of tools. Click on the Find & Redact List icon. You have the option to build a list, use an existing list, or manage your lists.
Name your list. In the file, we called our list “Email and SSN” list.
You have two options. One is to create a list by adding the items one by one, and the other is to import a list using csv or txt file. Import a list option can be very useful if your organization has already built a list of names, phone numbers, or any other set of phrases or PII, you can use the “Import list” option to redact your files.
You can add information to your list. You can search for an exact word you would like to find, such as someone’s name, or you can search for a pattern, such as email addresses.
We have a built-in list of patterns (regex) inside of CaseGuard Studio, but if you want to add your own pattern you can use the + sign.
When selecting a pattern, you also have the option to add a redaction reason and to select the color of your redaction box. Click Save & Add new.
Now, you can add some words you want to redact from the file. We added the word “she” in the training video, as we want all pronouns redacted from the file. The “whole words only” option was
selected, so that words like “seashell” are not partially redacted. Add a redaction reason and select your redaction color. Save and add new.
You can add in names as well. In the video, we added the name Nika.
Once you build your list, you can run it on your files by selecting “Analyze”
The analytics panel shows how many pieces of information were found in the document file. You can redact everything by clicking the paintbrush icon at the top of the analytics panel. In just one click, we were able to redact 113 from this file.
All of the information behind the redaction boxes is completely gone. The numbers you see on top of the boxes are the redaction reasons.
You can open your exported file in Adobe. Hovering over any of your redaction boxes shows us the reason this information was redacted. We can also see it listed on the right-hand side.
You can use the list you built to run on your files in bulk! Click on the bulk processing icon at the top of your screen. From the operation drop-down menu, select “Redact document”. You can add in as many files as you would like.
In the redact document settings, select “Perform Text Analysis” and pick the list you created from the drop-down menu.
You have the option to export your files after the redaction is applied. Click Start to begin your bulk processing.
