In this video, we're going to go through how to create a drop-down list from scratch. That means setting up the dropdown lists, creating input messages, and creating custom error alerts for incorrect entries. It only takes a few minutes to get a dropdown list set up and it will save you a ton of time in the future, so make sure to watch all the way to the end so you have all the information you need.
A drop-down list is a useful feature that allows you to select a value from a pre-defined list. This feature is useful when you are doing data entry type work, as it can save you a lot of time and effort. In this video, we'll go through how to create drop-down lists in Microsoft Excel, including how to create an input message and custom error alert, and how to add to an existing drop-down list.
Part 1: Creating a Drop-Down List
Step 1: The first step to creating a drop-down list is to create a list of values. You can create this list within the Data Validation dialogue box itself or reference cells in a worksheet.
Step 2: Once you have created your list of values, you need to select the cell where you want to create the drop-down list.
Step 3: Go to the Data tab on the Excel ribbon and within the Data Tools group click on the Data Validation button to open the Data Validation dialog box.
Step 5: In the Data Validation dialog box, select List from the Allow drop-down menu.
Step 6: In the Source field, enter the range of cells that contains the list of values then click OK.
Part 2: Creating an Input Message
Step 1: To create an input message, go back to the Data Validation dialog box by following the same steps as in Part 1.
Step 2: In the Data Validation dialog box, click on the Input Message tab.
Step 3: In the Title field, enter a title for your input message. In the Input Message field, enter the message you want to display then click OK.
Part 3: Creating a Custom Error Alert
Step 1: To create a custom error alert, go back to the Data Validation dialog box by following the same steps as in Part 1.
Step 2: In the Data Validation dialog box, click on the Error Alert tab.
Step 3: Choose a Style, Title, and Error Message then click OK.
Part 4: Adding to the Drop Down list
To add more options to pick from in the drop-down list, simply add the new option to the bottom of the existing list of options.
