Tutorial #3: Inventory & Stock Taking with SQL Server and Scan-IT to Office
https://tec-it.com - This video demonstrates how to perform database-backed, remote stocktaking and inventory tasks with your handset and the Scan-IT to Office app. The item data, remotely collected with the app, is transferred in real-time via cloud services to your on-premise database. Multiple users may work simultaneously on a single inventory database.
The supplied inventory demo offers the essential functions "increase article quantity", "decrease article quantity", "create article" and "query stock". Custom requirements are covered easily by modifying the app's input form, providing your database and adding additional booking or querying functionality.
1️⃣ INSTALLATION
To be able to use the inventory management function, you need
✴️ the Scan-IT to Office app for mobile data collection (available for Android and iOS) and
✴️ the free receiving software "Smart Database Connector" for your Microsoft Windows PC or server.
To utilize the inventory functions, please enable the installation of Microsoft SQL Server Express (provided for free by Microsoft) when installing the Smart Database Connector.
2️⃣ SELECT THE INVENTORY FORM IN THE APP
The Scan-IT to Office app offers a simple input form for inventories and stock taking. Select this form in the form chooser.
3️⃣ CONNECT THE APP TO THE INVENTORY DATABASE
To perform inventories with the Scan-IT to Office app, link the app to the inventory database. To do this, scan the QR code displayed in the Smart Database Connector with the app.
4️⃣ INVENTORY AND STOCKTAKING
After installing the Smart Database Connector for the first time, the example database contains no items. Start using the form function "SET" to create item numbers and the associated quantities. Trigger subsequent quantity changes with "ADD" or "SUBTRACT". "QUERY" shows the current item inventory in a dialog.
5️⃣ HOW DOES SCAN-IT TO OFFICE WORK?
The database processes the inventory data received from the Scan-IT to Office app with the help of a so-called "stored procedure". Therefore, the inventory function is only available when using databases supporting such "stored procedures" (Microsoft SQL Server, ORACLE, MySQL, etc.).
Microsoft Access does not support stored procedures. However, as in this video, MS Access can be used as a frontend for managing item data. Microsoft Access connects to the SQL Express database via an ODBC data source set up automatically when installing the Smart Database Connector. You may also use the free "Microsoft SQL Server Studio" to administer the SQL Express database instance.
In the Smart Database Connector user interface (usually available in the browser at http://localhost:33333), the endpoint "Demo Inventory (Microsoft SQL Server)" is responsible for processing inventory data. This endpoint calls the stored procedure "INVENTORY_ACTION" in the database via an SQL script each time data is received from the app's inventory form. The collected item data is available in the parameters "ITEM-ID" and "QUANTITY". In addition, the app's inventory form sets the "ACTION" parameter to the desired database function (ADD, SUBTRACT, SET, QUERY).
Adapting the input form and the stored procedure allows for fulfilling custom requirements.
✅ SECURITY AND PRIVACY
The Scan-IT to Office system stores collected data EXCLUSIVELY on the user's devices (in the app on your handset or in the database on your PC or server). The cloud servers do not store any data permanently. The servers process the data only while exchanging it between the app and the database. Moreover, transmitted form data is end-to-end encrypted (E2EE). Nobody, not even TEC-IT, can decrypt it.
