Custom number formatting in Excel is particularly useful for tailoring how numbers appear according to your needs. Here’s a guide to help you get started with custom number formatting in Excel:
Basic Number Formats
1. **General**: Displays numbers as they are. No specific formatting applied.
2. **Number**: Displays numbers with a fixed number of decimal places, thousand separators, and negative numbers in parentheses.
3. **Currency**: Displays numbers with a currency symbol, thousand separators, and decimal places.
4. **Accounting**: Similar to Currency but aligns currency symbols and decimal points.
5. **Date/Time**: Displays dates and times in various formats (e.g., `MM/DD/YYYY` or `HH:MM AM/PM`).
6. **Percentage**: Multiplies the number by 100 and adds a percentage sign.
Custom Number Formatting
Custom number formatting allows you to create specific formats for your data. You can create formats using the following types of codes:
1. **General Format**:
Code: `General`
Example: `1234.567` will be displayed as `1234.567`
2. **Number Format**:
Code: `0`, `0.00`, `#,##0`, `#,##0.00`
Example: `1234.567` with format `#,##0.00` will be displayed as `1,234.57`
3. **Currency Format**:
Code: `$#,##0.00`, `€#,##0.00`
Example: `1234.567` with format `$#,##0.00` will be displayed as `$1,234.57`
4. **Date and Time Format**:
Code: `MM/DD/YYYY`, `DD-MMM-YYYY`, `HH:MM AM/PM`
Example: `2024-08-28` with format `MM/DD/YYYY` will be displayed as `08/28/2024`
5. **Percentage Format**:
Code: `0%`, `0.00%`
Example: `0.123` with format `0.00%` will be displayed as `12.30%`
6. **Custom Codes**:
**Positive Numbers**: `0`, `#,##0.00`
**Negative Numbers**: `-0`, `(#,##0.00)`
**Zero Values**: `0`, `""` (empty text)
**Text**: `"Text "` (text in quotes will be displayed as is)
Applying Custom Number Formatting
1. **Select the Cells**: Highlight the cells you want to format.
2. **Open Format Cells Dialog**:
Right-click the selected cells and choose `Format Cells`, or
Go to the `Home` tab, click the drop-down arrow in the `Number` group, and select `More Number Formats`.
3. **Go to Custom**: In the `Format Cells` dialog box, go to the `Number` tab and select `Custom` from the list on the left.
4. **Enter the Format Code**: In the `Type` field, enter your custom format code.
5. **Click OK**: Apply the format by clicking `OK`.
Example Formats
**Phone Number**: `(###) ###-####` — `1234567890` will be displayed as `(123) 456-7890`
**Zip Code**: `00000-0000` — `123456789` will be displayed as `12345-6789`
**Social Security Number**: `000-00-0000` — `123456789` will be displayed as `123-45-6789`
