PDF/A is the required file type for all ETD submissions. There are instructions on how to format your document as a PDF/A at the bottom of the formatting requirements page.
Note that the PDF/A format cannot include audio, video, Javascript, or executable files. If you need to include any of these file types, you can submit them as supplementary files during the submission process, which we’ll cover in the next video.
To convert your document, you’ll need a computer with access to Word for Windows, or Adobe Acrobat Pro. Let’s start with a word document.
From Word for Windows:
• Select “File” then “Save as Adobe PDF”
• Make sure file type is “pdf files”
• Select “Options” and a box with “PDF Options” will open
• Check the “Create PDF/A” box, then select “OK” and “Save”
Great! Now we have our PDF/A file, as you can see by the blue banner at the top of the screen.
Now let’s try from a regular PDF file.
From Adobe Acrobat Pro:
• Select The Tools Menu
• Select PDF standards
• Click Save as PDF/A or click Preflight then Convert to PDF/A
Great! We have another PDF/A file.
Finally, after conversion, look through your document to make sure that your fonts, images, and other elements still look good. Next, we’ll go over how to submit your document to the library for review.
