So, what exactly is a Corrective Action Plan (CAP)? It’s a document motor carriers need to prepare after failing a Safety Audit. 📑 This plan addresses specific safety issues, explains what led to these problems, and details the steps taken to ensure they don’t happen again. Plus, you must provide proof of these actions. 📸
If you fail a Safety Audit, you’ll receive a notification outlining several key points. 🛑 First, it tells you the deadline by which your registration will be revoked if the FMCSA doesn’t approve your CAP. ⏳ It also specifies how much time you have to submit your plan and highlights what needs to be included. Lastly, it lists the violations that led to your audit failure.
📋 How to Create Your CAP: Your CAP should address each violation and detail the corrective actions you’ve taken. FMCSA provides a CAP Guidance document and template to help you submit a complete plan. Be sure to include a copy of your Safety Audit failure letter and describe why each violation occurred. 🛠️ You’ll also need to document the corrective actions you’ve taken. If your failure was due to an unacceptable accident rate, include an accident countermeasure program.
🛡️ What is an Accident Countermeasure Program? This program should cover things like defensive driving training, identify factors leading to accidents, and outline preventative measures to reduce crashes. If your plan includes future actions, such as training or purchasing software, describe these in detail and provide a timeline for completion. 🗓️
Don’t forget to include any extra documents supporting your safety management controls related to the audit failure. 📂 Additionally, you’ll need a written statement certifying your compliance with Federal Motor Carrier Safety Regulations. This must be signed by a company owner or corporate officer. 🖊️
⏳ Timing is Crucial: To avoid registration revocation, submit your CAP within 15 calendar days of receiving your Safety Audit failure notice. Remember, submitting a plan doesn’t guarantee approval. 🚨 The inspection officer must find your CAP acceptable before you can proceed with reregistration.
For the fastest delivery, send your CAP via email or fax to the FMCSA Regional Office mentioned in your notification letter. 📧 If you choose to mail it, use a trackable service for confirmation. FMCSA will review your plan and may contact you for more information. They will notify you in writing of their decision. 📨
