Missed Visit Policy
Welcome! Our mission here at Lott Physical Therapy and Fitness Center is to guide the members of our communities to work stronger, play longer, and live better to enjoy their best life. To best achieve your goals, we reserve a significant block of one-on-one provider time for each therapy visit so we want to make sure that you understand that it is extremely important that you attend all of your appointments. This policy helps us ensure that everyone we help receives the care they need and deserve.
1. Your treatment will begin right at your appointment time. We ask that you arrive 5 minutes prior to your scheduled appointment time so that we can get things ready to start your treatment on time.
2. If you’re running late, please CALL us as soon as you know so your provider can prepare for your late arrival, sometimes continuing to help someone else. Please CALL. Please do not reply to appointment reminder texts or our emails to cancel as we often do not receive these either at all or in a timely manner.

3. We know things come up, but we do require you to give us notice during BUSINESS hours on the BUSINESS Day prior to your scheduled appointment to cancel or reschedule an appointment. Business days are Monday-Friday excluding holidays and our hours are typically 8:00 am to 5:00 pm. Please call the office by 4:30 pm the previous business day so that we can attempt to help someone else.
4. If you do not provide the required notice,
a) The First Time IS ON US! No worries – we all get busy.
b) The Second Time: Mistakes happen, so as a favor, we will only charge a $50 fee to keep in your future appointments which is about 50% of our cost, depending on the number of visits you have already successfully attended. OR We are happy to offer One Appointment at a Time or Same Day Scheduling.
c) The Third Time: It’s tough to cover our expenses for the large amount of open reserved professional time. Expect a charge of $100 to keep your future scheduled appointments - again, this depends on the number of visits you have already successfully attended. OR If you are not able to pay the $100 fee, we are happy to offer Same Day Scheduling. If this does not work for you, We’ll Sure Miss You and wish you well.
5. We treat pain and dizziness! If you’re in pain or experiencing dizziness and thinking about canceling your appointment, give us a call. We can modify your treatment plan to get you feeling better!
6. We do Telehealth Appointments – this is an option we are happy to offer to avoid missing your treatment.
We hate having to enforce policy, but to provide the level of care that we are known for, and that you deserve, we must be consistent with everyone. We look forward to working with you to meet your physical therapy goals.
