Today I discuss Microsoft Office Word 2003 details [Table – Convert (Text to Table…, Table to Text…), Sort…] (Part – 37) in Bengali.
Here are a few important terms to know before you begin creating tables:
• Row: A row runs horizontal in a table and is divided by borders.
• Borders: This separates lines in the table.
• Column: A column runs perpendicular in a table and is divided by borders.
• Cell: A cell is the box that is created when your rows and columns intersect. The cell contains your data or information.
Convert –
Table to Text -
There may be times when you want to convert an existing table into text. To do this, follow these steps:
1. Select the entire table you want to convert to text.
2. If you are using Word 97, choose the Convert Table to Text option from the Table menu. If you are using a later version of Word, choose Convert from the Table menu, then chose Table to Text from the resulting submenu. Either way Word displays the Convert Table to Text dialog box.
3. Select the appropriate character that Word should use to separate the columns of text.
4. Click on OK.
Text to Table –
There are two major ways you can create tables in Word. One way is to create a blank table by any of the various methods provided by Word (such as drawing the table or using Insert Table tool). The other method is to convert existing text into a table. To convert text into a table, follow these steps:
1. Make sure the text which is to be converted into the table contains only a single tab character between each column.
2. Select the text you want converted into a table.
3. Either click on the Create Table tool on the toolbar or select the Insert Table option or the Convert Text to Table option from the Table menu.
4. If you selected the Convert Text to Table option, you are shown the Convert Text to Table dialog box. Make sure all the table settings are correct and then click on OK.
Sorting a Table
Sorting elements of your table is useful for organizing your data, whether consisting of text, numbers, or dates. You can also perform subsequent sorts on the data, initially sorting by one criterion and then sorting by a second criterion within that sort.
1. Select the table or column(s) to be sorted
2. From the Table menu, select Sort...
3. From the Sort by pull-down list, select the first column by which to sort
HINT: If your table contains headings that should be excluded from the sort, in the My list has section, select Header row.
4. From the Type pull-down list, select Text, Number, or Date
5. Select Ascending or Descending order
6. OPTIONAL: To sort additional columns, from the Then by pull-down lists, select the desired sorting criteria
7. OPTIONAL: To make the sort case-sensitive,
8. Click OPTIONS...
The Sort Options dialog box appears.
9. Under Sort options, select Case sensitive
10. Click OK
