This video is a product tutorial from understanding the workflow conditions that are available on a Custom or Widget Timesheet Format in Replicon.
In Replicon, in the customer widget timesheet format, one can define what the system needs to do with the timesheet in case any or some conditions are fulfilled on the timesheet. These conditions can be related to validations and/or invoicing. All these conditions can lead to some of the other actions that the system can take in case of these timesheets.
There are two ways to add a timesheet template. The first option will be to choose from two timesheet formats. If a choice like this is given, then choose the custom timesheet format. In another scenario, the timesheet will already be pre-selected so there will not be any drop-down available and instead, there will be a field called auto-fill available. In such situations, whatever timesheet template is created will by default be the widget timesheet format.
There are five workflow conditions that can be applied to the timesheet format.
The first one is called Attestation Acceptance is Required. The attestation widget can be added into the timesheet format from the UI component section and if the attestation is required to be checked or not checked can be decided from this workflow condition.
The second is called Errors Prevent Submission due to the validation rules on the timesheet format. If there are any errors that are existing within the timesheet, then the system will not allow the time to be submitted.
The next workflow condition is called No Early Submission. This can prevent users from submitting their timesheets before the timesheet period ends. If this condition is applied, then users will be able to submit the timesheet either on the last day of the timesheet period or post the last day of the timesheet period in Replicon.
The fourth Condition is called Prevent Changes to Invoiced Timesheet. In Replicon’s Time Bill or Project Module, there is a section called Billing where users can go ahead and invoice the timesheet. If invoiced timesheets should not be reopened and edited, then this workflow condition can be applied. If someone tries to do so, then an error message will pop up.
The last workflow condition is called Warnings Prevent Submission. In this scenario, users will not be able to submit the timesheet if there are any warnings because of the validation rules that are applied. These are the workflow conditions that can be applied to the timesheet template. A user can apply one or all these workflow conditions as per the requirement.
