Use of Subtotal in Excel [ How to use subtotal in MS Excel ]
Use of Subtotal in excel for total or sum up mostly we uses sum function, can see here i have used same simple sum function. but this sum function have some limitations, here i have can see here when i am applying filter on any brand, total of the value is still same 230 but see when i am selecting manually values total is becoming different, so facing problem in sum up of the values when simple sum function is used. when we are using multiple function in excel sheet, it is better always use subtotal function, now here i will show how this subtotal function is used and how it works. First we will write equal sign in the cell, then we will write subtotal then automatically, we will get function name then we will press tab button, as tab button is pressed function will start with parentheses, and same time will get a drop down box, there will be lot of options, as you know we want to apply sum, so from here drop down box we will select 9th option which is showing sum. so we will select this, or manually we can write 9 as you feel easy, can select or write. after writing or selecting 9, write comma, then select the range of the cells, of which columns we want to get the sum, after giving range, close the parentheses, now our function has completed, as enter or tab button is pressed, we will get sum of the values by applying sub total function. Now you can see when i am applying filter simple sum total is remain same, but subtotal sum is changing while we are applying any filter. as earlier i told you when we are applying subtotal function there are lot of option in drop down box, one option for sum up is coming on 9th number, and there is one more reference number for sum up of values which is 109, so we can select any one from these 2 numbers, but when 1st 9th number is selected it works with filters, but when we are hiding any row it doesn't work. so while applying subtotal function keep in mind these things and select 109 to get results in better way, wheather if any row is hidden it will exclude the total of that value while totaling the sum. Here practically i can show you, now i have selected 109 from drop down box and has applied this subtotal function, can see when i am hiding any row, sum of subtotal function is changing. earlier it was not working when we were hiding any row. can see simple sum function is not working when we are applying filters or hiding any row, can see subtotal function sum is not matching with simple sum function. so subtotal function with 109 option is much better than simple sum function. whether we applying filters or hiding any row while totaling any amount it shows correct results. again i can show you difference of both options when we are selecting 9 from drop down box and when we are selecting 109 from drop down box. can see here on first total i have selected 9 from drop down box and for 2nd total i have selected 109 from drop down box, when i am hiding any row only 2nd total is changing where i have selected 109 but other total where from drop down box i have selected 9 is not changing it is remain same.
Now can see when i am selecting 109 from drop down box for both subtotal functions, it is working for both when i am hiding any row. so in this way you can apply subtotal function in your excel sheet for sum up of your values, it is much better than simple sum function.
