If you’ve ever received Hate Email from the IT Department, informing you that it’s time to free up some space in Outlook or you’ll be banned from email service, then you’ll be interested in this quick tip.
Regardless of the version of Outlook you use, there are 3 places you can do a quick cleaning, freeing up space, and allowing Outlook to run more efficiently.
The first one is obvious – your Inbox. This is where you probably have emails that have large attachments with them. Sort the inbox by size and then tackle the largest ones first. You can save the attachments on your hard drive and remove them from the email but still keep the e-mail in the inbox.
The second place to do some cleaning is your email file folder structure. Let’s be honest. You just might have so many folders you don’t even know what’s hiding out in them! A smart exercise is to take the time to open up each file folder, deleting any unnecessary emails. Next take a look at the folders that you no longer need or use. Can these be archived? Can their contents be deleted?
Finally, the third place but you can free up space is your calendar believe it or not. Open up your calendar, click on the search box and then choose the search criteria labeled “Has attachments”. Very quickly a list of calendar appointments containing attachments will be generated. You can either delete these appointments or you can keep the past appointments but just remove their attachments.
